Moving from Excel to organized invoicing: the checklist in 7 steps

Customers, numbering, VAT, access rights and backups: a concrete plan to prepare a gradual transition to your invoicing software.

1. Preserve your starting position

Before migrating, organise existing files and keep a separate copy. Identify finalised invoices, drafts, quotes and payments. A historical document must not accidentally become a newly issued invoice.

2. Clean up customer records

Check before removing duplicates, standardise company names and verify addresses. Identify missing identifiers without inventing values. A reliable invoice starts with a reliable customer record.

3. Document your numbering

Record the series used, the periods covered and the last number issued. Have the continuity of the move to the new system checked before issuing your first invoice. Test with drafts: a real invoice is not a demonstration document.

4. Have tax rules checked

Ask your adviser to confirm your tax regime, applicable taxes and required invoice information. Do not automatically copy another company’s settings. Keep a reference for each rule and an effective date where relevant.

Invoicing obligations must be checked against the CGI and its applicable implementing texts, among other sources. This checklist is an organisational guide; it does not certify your tax settings.

5. Define responsibilities

Specify who creates drafts, who issues them and who records payments. Give each person their own access. Test access removal and enable appropriate account protections.

A useful test scenario also covers mistakes: the wrong customer, a payment entered twice, a role change or a document needing correction.

6. Check your outputs

Download a PDF, open an export in your working software and verify the amounts. Maintain a backup procedure and test restoration in a separate environment. Having a backup file without knowing how to restore it is not enough to prepare for business continuity.

7. Move forward in stages

Choose a limited period and scope. Compare results, correct the data and have the relevant users validate the process before rolling it out more widely.

How do you start with Factino?

The 30-day trial lets you choose a plan and configure your first company without a bank card. First use fictional data to explore quotes, invoices, credit notes, exports and team permissions.

Bulk Excel/CSV import is not yet available in Factino. Plan to enter records gradually or wait for a suitable migration procedure. Being clear about this avoids discovering a limitation after starting the transition.
